Workflow Detail View

Navigate the workflow canvas and manage tasks within a workflow.

Workflow Detail View

The workflow detail view provides a comprehensive look at a single workflow, including its tasks, progress, and relationships. This guide covers the canvas view and how to manage workflow execution.

Opening a Workflow

Access a workflow detail by:

  • Clicking any workflow in the list
  • Direct URL - Each workflow has a unique URL
  • From linked items - Click workflow links from gaps, risks, or tasks

The Workflow Canvas

What the Canvas Shows

The canvas is a visual diagram showing:

  • All tasks as nodes
  • Dependencies as connecting lines
  • Task status via color coding
  • Progress through the workflow

Canvas Navigation

Task Nodes

Each task appears as a card/node showing:

  • Task title
  • Assignee avatar
  • Status indicator
  • Due date (if set)
  • Priority badge (if high/critical)

Dependency Lines

Lines connect tasks to show dependencies:

  • Solid line - Standard dependency
  • Arrow direction - Shows flow (A must complete before B)
  • Highlighted - When hovering on a task

Tasks at the top/left typically start first, flowing down/right as the workflow progresses.

Working with Tasks on Canvas

Selecting Tasks

Click any task node to select it:

  • Quick details appear in sidebar/panel
  • Actions become available
  • Task is highlighted

Quick Task Actions

With a task selected:

  • View Details - Open full task view
  • Mark Complete - Complete the task
  • Reassign - Change owner
  • Edit - Modify task properties
  • Add Dependent - Create a task that depends on this one

Drag and Drop

Rearrange the canvas layout:

  • Drag tasks to reposition visually
  • This changes the layout, not dependencies
  • Use "Auto Layout" to organize automatically

Creating Dependencies

To add a dependency:

  1. Click the source task
  2. Click "Add Dependency"
  3. Click the target task
  4. Connection is created

Or drag from the edge of one task to another.

Filtering Tasks

Filter within the workflow:

  • By status (Open, In Progress, Done)
  • By assignee
  • By priority
  • Overdue only

Sorting Tasks

Sort the list by:

  • Order in workflow
  • Status
  • Due date
  • Priority
  • Assignee

Adding Comments

Discuss the workflow with your team:

  1. Scroll to comment input
  2. Type your comment
  3. @mention team members
  4. Click "Post"

Working Through a Workflow

Starting a Workflow

Review the Workflow

Understand all tasks and dependencies.

Verify Assignments

Ensure tasks have appropriate owners.

Start First Tasks

Mark initial tasks as "In Progress."

Communicate

Notify team the workflow is active.

Executing Tasks

For each task:

  1. Open the task details
  2. Complete the required work
  3. Add any deliverables or notes
  4. Mark as complete
  5. Next tasks become available

Handling Blockers

When a task is blocked:

  1. Mark task as "Blocked"
  2. Add a comment explaining why
  3. Work on parallel tasks if available
  4. Resolve blocker
  5. Resume the task

Blocked tasks prevent dependent tasks from starting. Resolve blockers quickly to maintain workflow momentum.

Canvas Tools

Auto Layout

Click "Auto Layout" to:

  • Organize tasks automatically
  • Align based on dependencies
  • Clean up visual presentation

Fit to View

Click "Fit" to:

  • See all tasks on screen
  • Zoom to appropriate level
  • Center the workflow

Zoom Controls

  • + Zoom in
  • - Zoom out
  • 100% Reset to default zoom

Mini Map

A small overview showing:

  • Your current view position
  • All tasks at a glance
  • Click to navigate

Editing Workflows

Adding Tasks

While viewing a workflow:

  1. Click "Add Task"
  2. Fill in task details
  3. Set dependencies
  4. Assign and save

Removing Tasks

To delete a task:

  1. Select the task
  2. Click Delete
  3. Confirm removal
  4. Dependencies are removed

Editing Task Details

  1. Click the task
  2. Click "Edit" in the panel
  3. Modify properties
  4. Save changes

Reordering

Change task order:

  • Drag on canvas for visual position
  • Edit dependencies to change flow
  • Tasks auto-reorder based on dependencies

Common Questions

Can I have multiple workflows for one gap?

Yes, you might have:

  • Main remediation workflow
  • Supporting workflows for related work
  • All should link to the gap

What if I need to add a task mid-workflow?

  1. Click "Add Task"
  2. Set appropriate dependencies
  3. The task integrates into the flow
  4. Assign and work continues

How do I restart a completed task?

  1. Open the task
  2. Change status from Complete to In Progress
  3. Dependent tasks may need attention
  4. Update workflow progress accordingly

Can I duplicate a workflow?

Yes:

  1. Click Actions menu
  2. Select "Duplicate"
  3. A copy is created as Draft
  4. Modify as needed
