View, analyze, and export form response data.
Form Responses
Once forms are published and responses come in, you need to view and analyze the data. This guide covers how to work with form responses.
Accessing Responses
From the Form
Open the Form
Click the form in your Forms list.
Go to Responses Tab
Click "Responses" to see submissions.
View Response Data
See all submitted responses.
Response Count
The form card shows:
- Total response count
- New responses since last view
- Completion status
Response Views
Summary View
Overview of all responses:
- Response count
- Completion rate
- Question-by-question summary
- Charts for choice questions
Individual Responses
View each response separately:
- Full response details
- Respondent information
- Submission timestamp
- Response status
Table View
Spreadsheet-like view:
- Rows = Responses
- Columns = Questions
- Sortable and filterable
- Good for comparing responses
Viewing Individual Responses
Open Responses Tab
Go to the form's responses.
Click a Response
Select from the response list.
Review Answers
See all answers for that respondent.
Take Actions
Add notes, flag issues, follow up.
Response Details
Each response shows:

Filtering Responses
By Status
| Status | Meaning |
|---|---|
| Complete | All required questions answered |
| Partial | Incomplete (if saves allowed) |
| Reviewed | Marked as reviewed by you |
| Flagged | Marked for attention |
By Date
Filter by submission date:
- Today
- This week
- This month
- Custom date range
By Answer
Filter based on specific answers:
- Select a question
- Choose the answer value
- See only matching responses
Answer filtering is useful for finding specific compliance issues or responses needing follow-up.
Response Analytics
Summary Statistics
For each question:
- Response count
- Distribution of answers (for choice questions)
- Average/range (for numeric questions)
- Common themes (for text questions)

Working with Responses
Marking as Reviewed
After reviewing a response:
- Open the response
- Click "Mark Reviewed"
- Optionally add notes
- Response shows reviewed status
Adding Notes
Add internal notes to responses:
- Open the response
- Find the Notes section
- Add your notes
- Notes are internal only
Flagging for Follow-up
Mark responses needing attention:
- Open the response
- Click "Flag"
- Add reason for flagging
- Response appears in flagged filter
Exporting Responses
Export Formats

Go to Responses Tab
Open the form's responses.
Apply Filters (Optional)
Filter to the responses you want.
Click "Export"
Opens export options.
Choose Format
Select CSV, PDF, or Excel.
Select Fields
Choose which questions to include.
Download
File downloads to your computer.

Response Notifications
Getting Notified
Configure notifications for:
- New response received
- Daily/weekly response digest
- Specific answer triggers (e.g., "No" to security question)
Setting Up Notifications
- Open form settings
- Go to Notifications
- Enable desired alerts
- Choose delivery method
For high-volume forms, use digest notifications to avoid inbox overload.
Response as Evidence
Use form responses as compliance evidence:
Linking to Gaps
- Open a response
- Click "Link as Evidence"
- Select the gap or control
- Response is linked

Forms can document:
- Control operation
- Compliance verification
- Assessment results
- Attestation records
Partial Responses
What Are Partial Responses?
Responses started but not submitted:
- Respondent saved progress
- Respondent abandoned form
- Technical issues
Handling Partials

Response Integrity
Audit Trail
Each response records:
- When submitted
- Who submitted
- Browser/device info
- IP address (if tracked)
- Any edits made
Preventing Duplicates
If configured:
- One response per person
- Based on email/login
- Can allow editing instead
Response Editing
If allowed:
- Respondent can update answers
- Edit history is preserved
- Original submission recorded
Bulk Operations
Bulk Status Update
Update multiple responses:
- Select responses with checkboxes
- Click "Bulk Actions"
- Choose action (mark reviewed, flag, etc.)
- Apply to all selected
Bulk Delete
Remove multiple responses:
- Select responses
- Click "Delete Selected"
- Confirm deletion
Deleted responses are permanently removed. Consider archiving instead if you might need the data.
Common Questions
Can respondents see others' responses?
By default, no. Respondents only see their own submissions. Results sharing can be configured.
How long are responses stored?
Responses are stored indefinitely by default. Data retention policies may vary.
Can I edit a response?
Typically, admins can add notes but not modify answers. This preserves data integrity.
What if someone needs to resubmit?
Options:
- Allow editing on the form
- Delete old response and request new
- Accept multiple responses
