Keeping tasks updated is essential for accurate tracking and team coordination. This guide covers how to update status, priority, assignee, and other task properties.
Updating Status
Status Options
| Status | When to Use |

| To Do | Task not yet started |
| In Progress | Currently working on it |
| Done | Task completed |
| Blocked | Cannot proceed |
Quick Status Update
From the task list:
- Hover over the task
- Click the status quick action:
- ✓ to complete
- ▶ to start
- ⏸ to block
- Status updates immediately
From Task Details
Open the Task
Click to open the detail sheet.
Click Status Button
Use "Complete," "Start," or "Block" buttons.
Add Notes (Optional)
Some status changes prompt for notes.
Confirm
Status updates and is logged.
Completing a Task
When marking complete:
- Click "Complete" or check the checkbox
- Add completion notes (optional but recommended)
- Attach any deliverables
- Task moves to Done
Adding completion notes helps team members and auditors understand what was done.
Marking as Blocked
When you can't proceed:
- Click "Block"
- Required: Add blocking reason
- Describe what's preventing progress
- Task shows as Blocked
Blocking Reasons
Document what's blocking:
- Waiting on another task
- Need information from someone
- External dependency
- Technical issue
- Resource unavailable
Unblocking
When the blocker is resolved:
- Open the blocked task
- Change status to "In Progress" or "To Do"
- Add note explaining resolution
- Continue work
Updating Priority
Priority Levels
| Priority | Color | Use When |
|---|---|---|
| Critical | 🔴 Red | Urgent, must do now |
| High | 🟠 Amber | Important, do soon |
| Medium | 🟢 Green | Standard work |
| Low | 🔵 Blue | When time permits |
Changing Priority
Open Task Details
Click the task to open.
Click Priority Badge
Or click "Edit" to modify.
Select New Priority
Choose from the dropdown.
Save
Priority updates immediately.
When to Escalate Priority
Increase priority when:
- Due date approaching
- Blocking other tasks
- Management request
- Audit urgency
- Security issue discovered
When to Lower Priority
Decrease priority when:
- Other work takes precedence
- Timeline extended
- Dependencies not ready
- Risk reduced
Priority changes affect team planning. Communicate significant priority changes to stakeholders.
Updating Assignee
Reassigning Tasks
Change who owns a task:
Open Task Details
Click the task to open.
Click Assignee
Or click "Edit" to modify.
Select New Assignee
Search for and select a team member.
Add Reason (Recommended)
Note why you're reassigning.
Save
New assignee is notified.
Reasons to Reassign
- Original assignee unavailable
- Better expertise needed
- Workload balancing
- Role changes
- Location/time zone issues
Self-Assignment
If a task is unassigned:
- Open the task
- Click "Assign to me"
- You're now the owner
Unassigning
To remove assignment:
- Open the task
- Click assignee
- Select "Unassigned"
- Task needs a new owner
Updating Due Date
Setting Due Date
Open Task Details
Click the task to open.
Click Due Date
Or click "Edit" to modify.
Select Date
Use the date picker.
Save
Due date updates.
Extending Due Dates
When more time is needed:
- Edit the due date
- Select new date
- Add note explaining the change
- Communicate to stakeholders
Removing Due Date
If no deadline applies:
- Edit the task
- Clear the due date field
- Save changes
Bulk Updates
Update multiple tasks at once:
Select Tasks
Check boxes next to tasks in the list.
Click "Bulk Actions"
Opens the bulk action menu.
Choose Action
- Change status
- Change priority
- Change assignee
- Set due date
Apply
Changes apply to all selected tasks.
Bulk updates affect multiple tasks. Review your selection carefully before applying.
Editing Other Properties
Editing Title
- Open task details
- Click "Edit"
- Modify the title
- Save changes
Editing Description
- Open task details
- Click "Edit" or the description
- Update the description
- Save changes
Changing Type
- Open task details
- Click "Edit"
- Select new type from dropdown
- Save changes
Moving to Different Workflow
Generally, tasks stay in their workflow. To move:
- Create a new task in the target workflow
- Copy relevant details
- Mark original as complete or delete
Undo Changes
Immediate Undo
Some actions show an undo option:
- Click "Undo" within a few seconds
- Action is reversed
Reverting Status
If you changed status by mistake:
- Open the task
- Change status back
- Add note if helpful
Cannot Undo
Some changes can't be undone:
- Deletions (if permitted)
- Completed workflow tasks (in some configurations)
- Contact admin for help

Viewing Changes
All changes are logged in Activity:
- What changed
- Who changed it
- When it changed
- Previous and new values
Audit Trail
For compliance:
- Complete history preserved
- Cannot be deleted
- Proves who did what
Common Questions
Can anyone update any task?
Depends on permissions:
- Assignees can update their tasks
- Workflow owners can update workflow tasks
- Admins can update any task
- Viewers typically cannot update
What happens when I complete a dependent task?
When you complete a task that others depend on:
- Dependent tasks become workable
- Assignees may be notified
- Workflow progress updates
Can I complete a task with incomplete subtasks?
If the task has a checklist:
- Typically all items must be checked
- Or you can override with a reason
- Depends on configuration
How do I track who made changes?
View the Activity tab in task details to see:
- All changes made
- Who made each change
- When changes occurred
