Document Management

Manage your compliance documents, policies, and evidence in PartnerAlly.

Document Management

Documents are the foundation of your compliance program. PartnerAlly helps you upload, organize, and analyze policies, procedures, and evidence against your compliance frameworks.

What Are Documents in PartnerAlly?

Documents include:

  • Policies - Written statements of intent (e.g., Security Policy)
  • Procedures - Step-by-step operational guides
  • Evidence - Proof of control implementation
  • Assessments - Audit reports, risk assessments
  • Contracts - Vendor agreements, BAAs, DPAs

When you upload a document, PartnerAlly's AI analyzes it against your enabled frameworks and automatically identifies compliance gaps.

Document Library

Access your documents from the sidebar:

  • All Documents - Complete document list
  • Folders - Organized by custom folders
  • Tags - Filtered by custom tags
  • Recently Uploaded - Latest additions
  • Needs Review - Documents requiring attention

Supported File Types

File Size Limits

  • Maximum file size: 25 MB per document
  • Maximum pages: 500 pages per document
  • Batch upload: Up to 10 documents at once

Document Properties

Each document has these attributes:

Document List View

The main view shows documents in a table:

Sorting Options

Sort by:

  • Name (A-Z or Z-A)
  • Upload date (newest or oldest)

  • Status (Analyzed, Analyzing, Failed)
  • Folder
  • Tags
  • Framework analyzed
  • Date range

Single Document

AI Analysis Overview

When a document is uploaded:

  1. Processing - Document is parsed and indexed
  2. Analysis - AI compares against framework controls
  3. Gap Detection - Missing or incomplete coverage identified
  4. Results - Gaps created with confidence scores

Document Best Practices

Upload Quality

  • Use text-based PDFs (not scanned images)
  • Ensure documents are complete and current
  • Include clear section headings
  • Remove password protection before upload

Organization

  • Create logical folder structure
  • Use consistent naming conventions
  • Apply relevant tags
  • Review and archive outdated documents

Maintenance

  • Re-analyze after significant updates
  • Remove obsolete documents
  • Update metadata as needed
  • Track document versions

Common Questions

How long does analysis take?

Most documents are analyzed within 2-5 minutes. Larger documents (100+ pages) may take longer.

Can I analyze documents against specific frameworks?

Yes. By default, documents are analyzed against all enabled frameworks. You can configure which frameworks to analyze in document settings.

What happens if analysis fails?

Failed documents can be re-analyzed. Common causes:

  • Scanned PDFs without OCR
  • Corrupted files
  • Password-protected documents

Can I upload multiple versions?

Upload updates as new documents and archive old versions. PartnerAlly tracks each version separately.
