Task Views

Navigate your tasks using list view, grouped view, and filters.

Task Views

The Action Inbox offers multiple ways to view and organize your tasks. Choose the view that best fits your workflow style.

Available Views

List View

The default view showing tasks in a simple list:

Grouped View

Tasks grouped by a specific attribute:

  • By Status - To Do, In Progress, Done sections
  • By Priority - Critical, High, Medium, Low sections
  • By Workflow - Grouped under parent workflows
  • By Assignee - Grouped by team member
  • By Due Date - Today, This Week, Later sections

Kanban View

Visual board with columns:

  • Drag tasks between status columns
  • See all tasks at a glance
  • Good for visual thinkers

Switching Views

Change views via the view selector:

  1. Click the view dropdown (upper right of task list)
  2. Select your preferred view
  3. View changes immediately
  4. Your preference is remembered

Filtering Tasks

By Status

Filter to specific statuses:

  • All - All tasks
  • To Do - Not started
  • In Progress - Being worked on
  • Done - Completed
  • Blocked - Cannot proceed

By Assignee

"My Tasks" is the most useful daily filter. Start each day by seeing what's assigned to you.

By Priority

Focus on specific priorities:

  • All priorities
  • Critical only
  • High and above
  • Medium and above

By Due Date

Filter by timeline:

  • All dates
  • Overdue
  • Due today
  • Due this week
  • No due date

By Workflow

Filter by parent workflow:

  • All workflows
  • Specific workflow
  • Standalone tasks (no workflow)

By Type

Filter by task type:

  • All types
  • Actions
  • Reviews
  • Approvals
  • Documentation

Combining Filters

Apply multiple filters simultaneously:

Example: "My Tasks" + "Due this week" + "High priority"

Shows: High-priority tasks assigned to you due this week.

Sorting Tasks

Click column headers to sort:

Sort ByOptions
TitleA-Z or Z-A
StatusBy status type
PriorityCritical first or Low first
Due DateSoonest first or latest
WorkflowAlphabetically
CreatedNewest or oldest

Default Sort

Tasks are sorted by:

  1. Priority (highest first)
  2. Due date (soonest first)
  3. Created date (oldest first)

Searching Tasks

Use the search bar to find tasks by:

  • Task title
  • Description content
  • Workflow name
  • Assignee name

Search Tips

  • Use quotes for exact phrases
  • Combine with filters
  • Search is case-insensitive

Grouped View Details

Group by Status

Sections:

  • To Do - Tasks not yet started
  • In Progress - Tasks being worked on
  • Done - Completed tasks (collapsible)
  • Blocked - Tasks that can't proceed

Collapse/expand sections by clicking headers.

Group by Priority

Sections:

  • Critical - Urgent tasks
  • High - Important tasks
  • Medium - Standard tasks
  • Low - Lower priority

Group by Due Date

Sections:

  • Overdue - Past due date
  • Today - Due today
  • Tomorrow - Due tomorrow
  • This Week - Due within 7 days
  • Later - Due after this week
  • No Date - No due date set

Group by Workflow

Sections for each workflow:

  • Shows tasks grouped under their workflow
  • Standalone tasks in separate section
  • Collapse workflows you're not focused on

Kanban View Details

Columns

Default columns:

  • To Do
  • In Progress
  • Done

Drag and Drop

Move tasks between columns:

  1. Click and hold a task card
  2. Drag to another column
  3. Release to drop
  4. Status updates automatically

Card Information

Each card shows:

  • Task title
  • Priority indicator
  • Assignee avatar
  • Due date (if set)
  • Workflow name (if applicable)

Kanban view is great for visual task management, especially when tracking workflow progress.

Saving Views

Save filter and view combinations:

Configure Your View

Set filters, sorting, and view type.

Click "Save View"

Opens the save dialog.

Name Your View

Give it a descriptive name.

Access Later

Select from the Views dropdown.

Priority Indicators

Visual indicators show priority:

  • Critical - Red accent
  • High - Orange accent
  • Medium - Green/neutral
  • Low - Blue/muted

Quick Actions from List

Hover over tasks for quick actions:

  • Mark complete
  • Mark in progress
  • Edit Open for editing
  • More Additional options

Bulk Operations

Select multiple tasks:

  1. Check boxes next to tasks
  2. Click "Bulk Actions"
  3. Choose action:
    • Change status
    • Change priority
    • Change assignee
    • Set due date
    • Delete (if permitted)
  4. Confirm changes

Mobile Views

On mobile devices:

  • List view adapts to card format
  • Swipe for quick actions
  • Tap to open details
  • Filters via menu button

Common Questions

How do I reset filters?

Click "Clear Filters" or "Reset" to return to default view.

Can I customize columns?

Some column visibility can be toggled. Core columns are always shown.

Why can't I see a task?

Check:

  • Status filter (may be filtering it out)
  • Assignee filter
  • Workflow filter
  • Your permissions

How do I share a view?

Share the URL after applying filters—URL includes filter parameters.
