Track active remediation workflows and their completion status.

Workflows In Progress

The Workflows In Progress card shows your active remediation efforts. It gives you a quick view of how many workflows are running, their progress, and which need attention.

What the Card Shows

The dashboard card displays:

  • Active workflow count - Workflows currently in progress
  • Completion percentage - Average progress across all active workflows
  • Status breakdown - Workflows by status (On Track, At Risk, Blocked)
  • Quick actions - Jump to specific workflows

Workflow Statuses

Active workflows can be in these states:

Blocked workflows need immediate attention. They indicate dependencies that aren't met or issues preventing progress.

Understanding Workflow Progress

Each workflow's progress is calculated from:

  • Task completion - Percentage of tasks marked complete
  • Milestone status - Key checkpoints reached
  • Time remaining - Workflow duration vs. elapsed time

Example Progress Calculation

A workflow with:

  • 10 total tasks
  • 6 tasks completed
  • No blocking issues

Progress: 60% (6 ÷ 10 tasks)

Viewing Active Workflows

Click the Card

Opens the Workflows page filtered to show active workflows.

Review Status Indicators

See which workflows are on track, at risk, or blocked.

Click Any Workflow

Opens the workflow detail view with full task breakdown.

Take Action

Update task status, reassign work, or mark complete.

Prioritizing Workflows

By Status

  1. Blocked - Resolve blockers first
  2. At Risk - Prevent delays
  3. On Track - Continue normal progress

By Gap Severity

Workflows addressing:

  1. Critical gaps - Highest priority
  2. High severity gaps - Important
  3. Medium/Low gaps - Standard priority

By Deadline

If audits or deadlines are approaching:

  1. Workflows due soonest
  2. Workflows with compliance impact
  3. Workflows for audit scope items

Workflow Health Indicators

Healthy Patterns

  • Most workflows are "On Track"
  • Average completion above 50%
  • No blocked workflows
  • Tasks being completed regularly

Warning Signs

  • Multiple blocked workflows
  • Workflows stalled for weeks
  • At-risk count increasing
  • No recent task completions

Managing Active Workflows

Keeping Workflows On Track

  1. Daily task updates - Mark progress as you work
  2. Regular check-ins - Review blockers weekly
  3. Reassign if needed - Balance workload
  4. Communicate delays - Update stakeholders

Unblocking Workflows

When a workflow is blocked:

  1. Identify the blocker

    • Missing information?
    • Waiting on someone?
    • Technical issue?
  2. Resolve or escalate

    • Clear the blocker if possible
    • Escalate to management if not
  3. Update the workflow

    • Add notes explaining resolution
    • Resume blocked tasks
  4. Prevent recurrence

    • Document what caused the block
    • Adjust future workflows

Blocked workflows that stay blocked can become stale. If a workflow is blocked for more than a week, consider restructuring it or breaking out the blocked portion.

Key metrics to track:

Workflow Capacity

Consider your team's capacity:

  • How many active workflows can your team handle?
  • Task assignments - Who has bandwidth?
  • Timeline overlap - Too many at once?

Recommendation: 3-5 active workflows per team member maximum.

Task Reminders

Set up notifications for:

  • Tasks due soon
  • Tasks overdue
  • Blocked workflows
  • Workflow completion

Status Updates

Encourage updates through:

  • Daily stand-up references
  • Weekly progress emails
  • Dashboard reviews

Dashboard Actions

From the Workflows In Progress card:

  • View All - See full workflow list
  • Create Workflow - Start a new remediation
  • Filter by Status - Focus on blocked or at-risk
  • Export Report - Generate progress report

Common Questions

What counts as "active"?

A workflow is active if:

  • Status is "In Progress"
  • Has incomplete tasks
  • Not archived or completed

Why isn't my workflow showing?

Check if:

  • Workflow status is "In Progress" (not draft or completed)
  • You have permission to view it
  • Filters aren't hiding it

How do I complete a workflow?

When all tasks are done:

  1. Review the workflow
  2. Verify all requirements met
  3. Click "Complete Workflow"
  4. It moves to completed and updates metrics

Should I delete old workflows?

No—keep completed workflows for:

  • Audit evidence
  • Historical reference
  • Pattern analysis
  • Knowledge sharing

Archive them instead of deleting.
